Today in Russia, developers in the field of modern information technologies have taken a course towards the use of mobile devices in various fields. This also applies to electronic document management. When creating appropriate software products, developers had to strike a balance between the required functionality and ease of use.

The world is becoming mobile these days. Any specialist, be it a manager, manager, etc., may not always be at the workplace, but he still has to continue to work with documents – give or execute orders, get acquainted with draft documents, make comments, suggestions and send documents. Remote work is already the norm. In this case, smartphones, communicators, laptops or tablets are used (Fig. 1).

This is due to the following main factors:

Any specialist is obliged to quickly familiarize himself with the information received, to make decisions based on it. Much can depend on the speed of delivery of this information.

Operational management activities today are impossible without the Internet, without using e-mail, messaging using voice communications, scheduling cases, tasks, meetings, etc.
These factors, which increase the efficiency of working with information, and hence making decisions, have caused an “explosion” in the use of mobile devices in the corporate environment. As a result, tablets claim to become the optimal device in the portfolio of specialists, which will replace folders with papers and, at the same time, provide an opportunity for ubiquitous business communications and access to relevant information.

Effective mobile solutions make full use of the unique capabilities of mobile technologies resulting from the combination of its properties:

The main advantage of mobile devices, which is so necessary for specialists, is the ability to quickly get acquainted with the content of documents. The functionality of the tablets allows you not only to familiarize yourself with the document, but also to make certain adjustments to its content, to give instructions for the execution of the document by voice or in the form of text (Fig. 2).

Managers and specialists are rightly concerned about the question – what happens if a smartphone or tablet computer is lost? What if it falls into the hands of an intruder who gains access to service data?

It also allows you to manage security, taking into account the operational cycle of mobile equipment (setting security rules, initializing passwords, downloading and encrypting data, prohibiting the use of lost or stolen devices, deleting service data and programs from a device, remote disabling and blocking, automatic erasing of data when not connected to the network, denying access to the network and applications, etc.).

Mobile technologies are developing rapidly. Just two years after the release of the iPhone, this device has become one of the dominant smartphones in the market. Within a year of Apple’s release of the iPad, 80% of Fortune 100 companies have deployed or tested these devices, making it one of the most rapid weapons in business history Prospective trends in the development of mobile technologies are as follows:

An increase in the number of camera-based image processing applications.
The proliferation of mobile video conferencing.
Improving the accuracy of speech recognition, which will significantly expand the possibilities of data entry into mobile devices.
Increasing the speed of data transmission in cellular networks.
The proliferation of embedded mobile machine-to-machine communication applications.
The main effect of the mobile technologies of the future on the user will be the ability to always connect, which is simpler and more efficient, which will be expressed in the form of absolute interoperability. Today’s users are forced to adapt to the protocols and standards used by this or that equipment, these or those networks. In the future, this problem will be solved by creating a universal interface for the exchange of information between multiple communication devices in any type of network. The categories of content for different types of devices will not differ, since general rules for the exchange of information will be developed: sound, visual or text.
The expansion of the use of mobile technologies in the activities of organizations of its managers and specialists is mainly facilitated by the mobile applications offered by developers.

In the general trend of mobility, electronic document management systems are no exception. Currently, mobile application developers offer their users solutions for mobile work in a corporate electronic document management system, which allows full-fledged work in corporate information systems using mobile devices on any of the currently popular platforms – Windows, Android or iOS.

Creation of applications for remote access and work with the electronic document management system using mobile devices is becoming an increasingly important component of modern corporate information resources and one of the most demanded areas of application of mobile devices.
